Your Role:
The Program Support Assistant helps enable the successful delivery of programs and initiatives within the rapidly growing Megasys organization across the United States and Europe. Working alongside program leaders and cross-functional teams, this role brings structure, visibility, and follow-through to program activities from planning through implementation.
The role supports program governance, milestone and dependency tracking, stakeholder coordination, communications, reporting, documentation, and continuous improvement. The successful candidate will be comfortable working across multiple workstreams, bringing clarity to complex information, and helping teams maintain momentum in a changing, international environment.
This is a hands-on program support role for a proactive, organized, and collaborative professional who takes ownership, anticipates delivery needs, and creates the operating rhythm that helps programs move forward.
Key Responsibilities:
Support the development and maintenance of integrated program plans, roadmaps, milestones, and delivery schedules, tracking progress and escalating risks, issues, and dependencies in a timely manner
Coordinate program governance activities including preparation of agendas, pre-reads, decision materials, and status packs, and support stage gates, steering committee meetings, and other decision-making forums
Collect, validate, and synthesize program information from multiple stakeholders and systems, prepare recurring status reports, dashboards, and concise leadership summaries with clear visual and written materials
Draft program announcements, progress updates, briefing notes, and other communications in a clear and audience-appropriate style, ensuring program information is accessible and consistently communicated across the organization
Coordinate cross-functional working sessions, program reviews, workshops, and information-sharing forums across sites and regions, capturing decisions, actions, owners, and deadlines and driving timely follow-up
Build and maintain effective communication rhythms across program teams and stakeholders in the United States and Europe, fostering productive relationships across functions, regions, levels, and cultures
Maintain accurate program documentation including charters, plans, meeting records, decisions, process maps, playbooks, and lessons learned, and help incorporate improvements into future program planning and execution
Support the onboarding of new employees by coordinating orientation activities, scheduling training sessions, and ensuring new team members have the resources and information needed to start their roles effectively
Coordinate inputs from functions such as Finance, Procurement, Information Technology, and Communications when required for program delivery, and support the design of scalable program processes as the Operations organization grows
Contribute to special initiatives that strengthen program maturity, operating discipline, and organizational effectiveness

Who You Are:
Minimum Qualifications:
Bachelor’s Degree in any discipline
3+ years of experience in program coordination, project support, operations, business transformation, or continuous improvement projects
OR
High School Diploma or GED
5+ years of experience in program coordination, project support, operations, business transformation, or continuous improvement projects
Preferred Qualifications:
Demonstrated experience coordinating activities across multiple stakeholders, workstreams, or locations (maintaining plans, trackers, action logs, status reports, or other program-management documentation)
Strong organizational and prioritization skills, with the ability to manage competing deadlines and follow through on commitments
Excellent written and verbal communication skills, including the ability to summarize complex information clearly
Strong working knowledge of Microsoft 365 or comparable collaboration and reporting tools, including Teams, PowerPoint, Word, and Excel
Ability to work effectively across different countries, cultures, functions, and time zones
Sound judgment, discretion, attention to detail, and a practical approach to problem solving
Experience supporting operations, manufacturing, supply chain, engineering, technology, or another complex business environment
Experience with program governance, portfolio reporting, transformation initiatives, or continuous-improvement methodologies
Experience working in a global or rapidly scaling organization
Familiarity with project-management, work-management, data visualization, or reporting tools, including expeirence preparing leadership-level dashboards, presentations, decision materials, or executive summaries
Additional language skills relevant to the organization’s European locations
Pay Range for this position: $90,600-$135,900/year
The offer range represents the anticipated low and high end of the base pay compensation for this position. The actual compensation offered will be determined by factors such as location, level of experience, education, skills, and other job-related factors.
