Monitor and support medical governance and operations involving external expert engagement: liaising with 3rd party vendors, financial processes, approval processes while identifying and addressing gaps. Additional criteria include and are not limited to discretion, professionalism, accountability, and ability to collaborate with multiple stakeholders.

Main Responsibilities:

Supports Vaccines Canada Medical Financial Process, including tracking of departmental expenses and monthly accruals. 26%

Supports team in creation of financial requests, Purchase Requisitions, purchase Orders, and tracks expenses throughout the course of a project until invoice processing and year end reconciliation is complete. 26%

Supports team in the creation and coordination of confidentiality agreements, service agreements and contracts with external suppliers. 9%

Ensures appropriate referencing, documentation, translation, tracking approvals and OneCRM process, and appropriate archiving in accordance with Sanofi SOPs, IMC regulations and PAAB approval process management. 9%

Managing all accredited education events (budget tracker, PO opening, etc.). 9%

Completion of required documents to generate payment for Sponsorships, Grants and Honorarium. 9%

Coordinates and organizes team meetings, including scheduling, booking meeting rooms, managing calendar invitations, and preparing meeting materials and agendas. 4%

Manages booking processes for internal and external events, including venue coordination, catering arrangements, and logistics support for medical team activities. 4%

Maintains team calendars and coordinates availability for Medical Directors and MSLs, ensuring efficient scheduling of meetings, calls, and project milestones. 4%

Works within the policies, procedures and regulations as required by the Company and under the Occupational Health and Safety Act.

Context of the Job/Major challenges

Ensure that payment is made to suppliers and maintain a good relationship with them to ease payment processes. Monitor old requests and manage new incoming ones by order of priority by date and urgency.

Dimensions/scope

Responsibilities of the job are for Vaccines Canada Medical only. Coordinate with the Medical Directors and MSLs on their projects; open line of communication at all times.

About You  

Certifications:

College-level post-secondary education (including CEGEP in Québec) or a bachelor’s degree in a relevant field.

Required qualifications:

2+ years of experience in an Administrative position, preferably within medical affairs or broader pharmaceutical industry.

Strong attention to detail with ability to manage multiple priorities

Excellent communication skills for stakeholder management

Problem-solving mindset for process improvement

Discretion in handling confidential medical and financial information

Preferred Qualifications:

2 to 3 years in project management

Experience within pharmaceutical industry, an asset

Experience with budget tracking and financial reconciliation

Experience with contract lifecycle management systems.

Familiarity with pharmaceutical regulatory processes (Health Canada, IMC, PAAB, etc.)

Language :

Written and spoken English. French is an asset.

Travel:

Limited travel required – Company/Team meetings within Canada

Computer knowledge:

Intermediate to expert level competence in MS Office, including Excel, Outlook calendar management, and meeting scheduling tools.

High level of expertise in all areas of modern office practices (instant messaging, web conferencing, meeting room booking systems, telephone systems, file sharing, etc.)

86,100.00 - 124,400.00 Final compensation will be determined based on demonstrated experience, skills, location, and other relevant factors.
