Office Management Specialist (m/f/x)

Location: Warsaw

Employment: Full-time, Permanent

As an Office Management Specialist, you will play a key role in ensuring the smooth operation of our Poland affiliate, enabling our teams to focus on delivering therapies to patients who need them most.

The Role:

Ensure efficient day-to-day office operations, including facilities, supplies, and administrative services

Coordinate travel, meetings, and office logistics

Manage company fleet and fixed assets

Oversee expense management, credit cards, and urgent payments

Execute Source-to-Pay processes (Ariba, invoicing, payment tracking)

Manage vendor relationships and ensure payment compliance

Collaborate with external service providers and finance partners

Support CRM (Veeva) as a local expert and trainer

Maintain accurate master data (vendors/customers) in MDG

Oversee contract management and documentation

Drive process improvements and ensure strong stakeholder communication

Your Skills and Experience:

Bachelor’s degree in a relevant field

5+ years in office or administrative management in an international environment

Strong MS Office and SAP skills; Ariba, Concur, Veeva are a plus

Fluent English and Polish

Highly organized, proactive, and detail-oriented with strong communication skills
