Your Role:
The Manager of Medical Operations reports to the Head of Medical Operations and provides day-to-day operational and workflow support. Working in collaboration with the broader Medical Operations leadership team, you will act as a critical cross-functional partner to Legal, Compliance, Finance, and Commercial to ensure governance, timeliness, and audit readiness.
Work Location: Hybrid (Onsite 3 days per week)
Travel: Up to 20% domestic travel
Key Responsibilities
Congress Planning & Execution
Coordinate operational logistics, calendars, timelines, and communications for US Medical participation in key congresses and meetings.
Support attendee approval workflows and system updates using platforms like CVent, Cadence, and Smartsheet.
Assist with the execution of sponsorship and booth opportunities, providing on-site operational support as needed.
HCP Engagement & Contracting
Manage the end-to-end Healthcare Professional (HCP) engagement process, including needs assessments, documentation/submission, routing, and system tracking (e.g., iHub).
Process and track HCP contracts, speaker agreements, associated purchase orders (POs), and activity visibility trackers.
Ensure all engagements strictly align with compliance guidelines, Fair Market Value (FMV) standards, reporting requirements, and audit readiness.
Serve as the primary point of contact for internal stakeholders regarding HCP processes, timelines, and system navigation.
Field Medical Reporting & Data Support
Support Field Medical teams with ad-hoc reporting requests (e.g., interaction data, insights, territory updates, and dashboards) utilizing Veeva, MPower, or other designated systems.
Liaise with IT and Data teams to effectively translate and execute data requirements.
Business Operations & Process Management
Maintain and update Medical Operations SOPs, RACIs, job aids, business calendars, and process documentation.
Lead routine operational workflows with a strong focus on efficiency, accuracy, compliance, and continuous improvement.
Support internal audit preparation and ad-hoc documentation requests in coordination with Governance and QA teams.
Internal Engagement & Communications
Coordinate internal Medical Communications (newsletters, updates) and contribute to Medical Engagement Committee activities.
Monitor EVA and internal communication channels to flag and cascade critical updates across the broader medical team.
Assist in planning high-profile meetings, including Medical Town Halls and the annual organization Summit.
Provide ad-hoc project management support aligned with strategic business objectives as assigned.
Who You Are
Minimum Qualifications:
Bachelor’s degree along with: 5+ years of experience working within a Medical Operations role,
OR
7+ years of Project Management experience within a pharmaceutical or biotech environment.
Fluency in English (written and verbal).
Preferred Qualifications:
Certifications: Project Management certification (PMP or equivalent)
Digital Literacy: Competent in utilizing AI-powered tools to optimize workflow efficiency, productivity, and continuous improvement.
Technical Systems: Proficient in MS Office (Word, Excel, PowerPoint, Outlook, Teams) and SharePoint; experience with SAP, iHub, Smartsheet, Veeva, or MPower is highly desirable.

Base Pay Range for this position - $92,900-139,300
The offer range represents the anticipated low and high end of the base pay compensation for this position. The actual compensation offered will be determined by factors such as location, level of experience, education, skills, and other job-related factors. Position may be eligible for sales or performance-based bonuses. Benefits offered by the Company include health insurance, paid time off (PTO), retirement contributions, and other perquisites.
