About the Role: This is a 18 months Fixed Term Contract.

The Contracting Center of Excellence Specialist Coordinator (the “Specialist Coordinator“) is a Global role sitting in the Global Medical  Communications, Capabilities and Education team.

You will be responsible for the end-to-end management of contracts with external stakeholders Health Care Professionals (HCPs), Health Care Organisations (HCOs), Patients and Patient Organisations (POs)) supporting Global Medical Affairs (GMA), Global Product & Portfolio Strategy (GPPS), Corporate Affairs, Neurotoxins and Global Research & Development (R&D) activities.

You apply the defined process for each contract category and follow a defined escalation process where required. The Specialist Coordinator is responsible for close collaboration with internal and external stakeholders to drive the most efficient and effective delivery of the contracting process and is responsible for effective communication and collaboration with all stakeholders to achieve this.

Internal collaboration is a key element of the role, and key stakeholders will include Legal, GMA, Therapeutic Area teams, Business Ethics and country teams.

The Specialist Coordinator role requires excellent planning and time management skills in order to prioritize and deliver a high volume of contracts during peak periods. They must be process oriented, strong on process enhancement and able to manage high volumes of contracts in parallel.

Main Responsibilities

Ensure timely contracting with HCPs, HCOs, Patient and POs in accordance with Ipsen processes for engagement and contracting;

Work closely with Ipsen business teams to understand the scope and details of the required engagement;

Follow the Ipsen process for engagement with HCPs, HCOs, Patients and POs including, not limited to, reviewing respective country profiles, coordinating with local medical affairs teams etc.;

Draft, review, negotiate and execute the respective contracts (based on Ipsen processes and templates) for such engagements;

Support French contracting activities and act as a key point of contact for French stakeholders;

Escalate any contracting and/or compliance issues to the Specialist Legal Coordinator;

Uphold the highest standards of ethical and compliant behavior in interactions with internal and external stakeholders;

Ensure Ipsen’s contractual relationships and activities comply with laws, regulations and industry standards, and applicable corporate codes and policies.

Manage all communications with HCPs, HCOs, Patient and POs in the contracting process in a professional manner to uphold and enhance the reputation of Ipsen as a partner of choice to collaborate with;

Ensure timely payment and reconciliation of expenses and honoraria payments to HCPs, HCOs, Patient and POs according to Ipsen policies;

Ensure that all declarations of payments to external stakeholders are reported through the appropriate reporting system or tools in accordance with Ipsen policies;

Prepare regular reports, as required by the  Contracting Center of Excellence Team Leader, and the wider Ipsen stakeholder groups, and develop insights from these reports which will support future planning and resource management;

Collaborate effectively and work cross-functionally with other relevant functions in the Global Legal team;

Identify and implement process improvements, automation opportunities and best practices ; and

Be an active contributor to the Center of Excellence team and drive best practice across all relevant Ipsen business teams.

Qualifications

Strong experience in contracting, operations, procurement, finance or related roles within life sciences.

Project management experience and experience working with HCP, HCO, Patients and POs is required;

Ability to work cross-functionally and develop good working relationships;

Organized and adaptable. Able to work within short timeframes, dealing with a high volume of complex projects simultaneously, and prioritizing accordingly;

Highly motivated, with strong work ethic, communication skills and organizational skills;

Conduct in accordance with the highest levels of integrity, accountability and social and cultural awareness;

Able to work independently and within a team in a cross-functional environment;

Able to advise, negotiate, recommend, and influence across all business levels;

Ability to handle high volumes of complex activities and competing priorities.

Assertive and able to play an active role in internal and external meetings representing the interests of Ipsen;

Fluency in English
