Job Description:

Summary

The Business Operations Specialist is responsible for leading the management of core business processes that support Ipsen Canada employees in the planning and implementation of compliant physician interactions.  The primary area of focus is actively supporting interactions that have stringent documentation and approval requirements.  The bulk of this activity is associated with local Activity Briefs for OLA’s, Conference Sponsorships, Advisory Boards, Preceptorships, Practicums and Consultancy Meetings.  In addition, the role is accountable for working collaboratively with their Business Operations partner in addition to, Sales teams, Stakeholder Relations Managers, Marketing teams and external partners to support the ongoing management of Ipsen Canada business processes for:

Promotional material inventory storage, distribution, and destruction

National Business Meeting planning & implementation

Global/Local Congress Management

This position is integral as a key member of the COET, contributing to the identification of areas of improvements and updating, communicating, training and reinforcing business guidance aligned to ongoing policy and business.  This position is also integral in maintaining and tracking activities to ensure audit readiness related to physician interactions and the management of promotional materials.

Lead local business process for core field-based activities that require customer contracts

Advisory Boards

Preceptorships

Practicums

Consultancy Meetings

Manage local process for promotional material inventory storage, distribution, and destruction

Contribute to the planning and implementation logistics for National Business Meetings (NBM)

Manage local process for Global/Local Congress attendance

Contribute to  the development and maintenance of relevant business process training and support materials

Monitor process compliance and generate relevant summary reports for the Ipsen Canada Compliance Committee

Ensure local business process documentation is consistently in an audit ready state

Identify, assess and contribute to initiatives to enhance business process efficiency and effectiveness

Support onboarding activities for new hires within assigned teams, in conjunction with HR

Act as Ariba Super User and support teams accordingly

Support new physicians set up process

Collaborate with Ipsen Administrative Assistants as appropriate

Perform other duties as assigned

Knowledge & Experience

University degree

Strong communication skills (both verbal and written) and ability to relate well to internal and external customers

Must be flexible and have a high attention to detail

Must have the ability to manage multiple tasks and projects simultaneously and is very organized

Self-starter and results-oriented with a positive, can-do attitude

Proficient with Microsoft Office, especially excel and PowerPoint

High level of organizational skills

Able to work across multi-disciplinary teams

1 to 2 years of project management and/or operational support experience with the pharmaceutical industry would be an asset

French speaking is an asset
