What you will do

The Administrative Coordinator (AC) provides administrative and operational support to the Sales and Marketing teams for QAP execution and marketing events, including event coordination, internal system management, vendor and HCP engagement, documentation and compliance follow-up, as well as general administrative support to ensure smooth business operations.

Main Responsibilities :

Ensures timely coordination of sales and marketing team administrative needs for QAPs execution:

Creates QAP and marketing events in internal systems and closes them upon completion.

Gathers event details from Sales Representatives and Marketers and ensures data quality meets company standards.

Follows up on event creation progress and ensures approvals are completed prior to events.

Creates HCP vendor profiles when required.

Submits speakers’ presentation slides for approval when necessary.

Follows up with Sales Representatives/ Marketers to collect signed contracts, invoices, and rosters, ensuring compliance with IRPMA regulations.

Manages event operations, including filing, database maintenance, budget and expense tracking, and processing HCP honorarium payments.

Develops simple and easy-to-follow SOPs for QAP processes in compliance with Amgen policies.

Manages administrative aspects of relationships with external vendors.

Coordinates with Sales Representatives and Marketers to arrange HCP travel and accommodation.

Provides training, guidance, and orientation for new team members when needed.

Supports reception duties when the receptionist is on leave.

Provides ad hoc administrative support as required.

What we expect of you

Qualifications:

Minimum Requirements

University degree

Minimum 5 years related experience in administrative support role

Experience using MS Office tools (medium degree of Excel skills)

Fluency in Mandarin and English

Detail-oriented, multitasking, used to work in a fast-paced environment

Can work independently and meet required timeline

Good communication skills

Preferred Requirements

Experience in similar or related disciplinary and/or international environment

Experience in facing clients and processing massive data

Familiarity with terminology of area supported such as Sales and Marketing
